“Vacations” is a service for employees to schedule and manage their leaves. It is one of the many services on the SberSolutions Portal Platform for work processes organization.
This product aims to replace the conventional way of managing employees’ vacation days with emails and papers using a digital document management system.
To provide a modern and accessible vacation days planner for users to help them manage their leaves more efficiently.
We started with identifying users of the product. Every employee in a company takes leave from time to time, but some of them have additional tasks related to leave planning. Leaders have to manage their team’s leave schedule, and personnel specialists have to organize the company's planning process and keep records.
After we specified three types of users, we began to research what leave-related tasks they have and what challenges they face during these tasks.
We composed lists of “jobs” for all types of users.
Supervisors plan their leaves the same way as the rest of the employees and manage the team’s scheduling process. It means that they need special tools for team management in the product.
Personnel specialists work with all leaves in the company, arrange the scheduling process, and manage it. We gathered all administrative features into another product for this certain type of user only.
To understand better when users need these jobs and why we interviewed our coworkers and learned about typical situations in which they schedule leaves and their motivations. We also asked our coworkers about problems or pains they faced during these tasks and gathered a lot of insights for improvement.
We framed a Job Story for each job based on interview results.

Then we combined CJMs for the main jobs to picture the user’s actions, thoughts, and emotions on each step and to point out possible improvements for the user’s journey.
